Using Magic Link Login

Using Magic Link Login

Magic links provide a quick, passwordless way to sign in to Boardwise. Instead of remembering a password, you receive a secure link or code via email.

A magic link is a unique, one-time login link sent to your email address. Opening the link brings you to a Boardwise page with a single Sign in button — no password required. Each magic link also includes an 8-character code you can enter manually if needed.

How It Works

  1. You enter your email address on the sign-in page
  2. Boardwise sends a secure link and code to your email
  3. Open the link and press Sign in, or enter the code instead
  4. The link and code expire after 10 minutes for security

Magic links are tied to your email address, so only someone with access to your inbox can use them.

To request a magic link:

  1. Go to the Boardwise sign-in page
  2. Enter your email address in the email field
  3. Click Send me a login link
  4. Check your email for a message from Boardwise

After requesting a magic link, you will be directed to a code entry page where you can enter the 8-character code from the email.

When you receive the magic link email, you have two options:

Option 1: Click the Login Button

The email contains a prominent Log in to Boardwise button. Click it, then press Sign in on the page that opens. This is the fastest method and works well when checking email on the same device where you want to use Boardwise.

You may wonder why there is a second button. Many company email systems open every link in a message automatically to check it for viruses before you ever see it. Because your sign-in link only works once, that automatic check used to use it up and leave you with an "already used" message. Nothing happens on the Boardwise page until you press Sign in, so the link is still waiting for you when you arrive.

Option 2: Enter the Code

If clicking the link is not convenient (for example, you are checking email on your phone but want to sign in on your computer), you can use the 8-character code:

  1. On the code entry page, enter the code shown in your email
  2. The code uses letters and numbers in the format XXXX-XXXX
  3. The code is not case-sensitive
  4. Click Continue after entering all 8 characters

The code entry page also provides quick links to open Gmail or Outlook in a new tab.

For security, magic links and codes expire after 10 minutes. If your link has expired:

  • You will see a message that the link is no longer valid
  • Request a new magic link by entering your email again
  • The new link will be valid for another 10 minutes

Note: Each magic link can only be used once. After you sign in, the link becomes inactive even if time remains.

Security Benefits

Magic links offer several security advantages:

No Password to Steal

Since there is no password, attackers cannot steal or guess your credentials. Your login depends on access to your email inbox.

Each magic link works only once. Even if someone intercepts the link after you use it, they cannot sign in.

Short Expiration Window

The 10-minute expiration limits the window during which an unused link could potentially be misused.

IP Address Logging

Boardwise records the IP address and device information when a magic link is used, helping detect suspicious activity.

Rate Limiting

You can only request one magic link per minute. This prevents attackers from flooding your inbox or attempting to guess codes.

Troubleshooting

If you requested a magic link but have not received the email:

  • Check spam or junk folders: Email filters sometimes catch automated messages. Look in your spam, junk, or promotions folder.
  • Wait a few minutes: Email delivery can be delayed, especially during high-traffic periods. Wait up to 5 minutes before trying again.
  • Verify your email address: Make sure you entered the correct address with no typos.
  • Check rate limiting: You can only request one link per minute. If you see a rate limit message, wait 60 seconds before trying again.
  • Contact your IT department: Some corporate email systems block automated emails. Your IT team may need to whitelist emails from Boardwise.

If you see a message that your link has expired:

  1. Go back to the Boardwise sign-in page
  2. Enter your email address again
  3. Request a new magic link
  4. Use the new link or code within 10 minutes

Each magic link can only be used once. If you see a message that the link has already been used:

  • You (or someone with access to your inbox) already pressed Sign in on this link, perhaps in another tab or on another device
  • Automatic virus scanning by your email provider does not use up the link — only pressing the button does
  • Request a new magic link if you need to sign in again

Code Not Working

If the 8-character code is not accepted:

  • Double-check that you entered all 8 characters correctly
  • Verify you are using the code from the most recent email (older codes may have expired)
  • Make sure you are entering the code for the same email address you requested
  • Try requesting a new magic link
