Understanding Meeting Analytics
Meeting analytics give you visibility into how attendees engage with meeting materials, helping you understand board preparedness and identify opportunities to improve engagement over time.
Accessing Meeting Analytics
To view analytics for a meeting:
- Open the meeting from your Meetings list
- Click the manage dropdown menu
- Select Analytics
Analytics are available to administrators, board secretaries, and others with the "view meeting analytics" permission.
Summary Metrics
The analytics dashboard displays four key metrics at a glance:
Attendance Confirmed
Shows the percentage of invited attendees who have confirmed they will attend (either in person or virtually). Below the percentage, you see the raw count of confirmed versus total attendees.
Document Engagement
Displays the percentage of attendees who have opened at least one meeting document. This helps you gauge overall engagement with meeting materials before the meeting begins.
Action Items
If the meeting has action items, this card shows the completion rate along with counts of completed and pending items.
Meeting Readiness
A composite score combining attendance confirmations and document views. The score is color-coded:
- Green (75%+): Strong preparedness
- Yellow (50-74%): Moderate preparedness
- Red (below 50%): Low preparedness, may need follow-up
Tracking Document Views
The analytics page shows detailed readership data for each meeting document.
What Is Tracked
For each document, Boardwise records:
- Who opened the document
- When they first viewed it
- When they last viewed it
- How many times they opened the document
- How many annotations they added
Document Readership Breakdown
Click any document to expand its details. You see two columns:
Have Read - Lists attendees who have opened the document, showing:
- Their name
- Number of times viewed
- Any annotations they made
- When they last accessed it
Haven't Read - Lists attendees who have not opened the document, sorted by RSVP status. Confirmed attendees who haven't read materials appear first, helping you prioritize follow-up.
Identifying Gaps
Documents with low readership rates display warning colors:
- Green badge: 75% or more of attendees have read the document
- Yellow badge: 50-74% have read it
- Red badge: Less than 50% have read it
Monitoring Meeting Readiness
The attendee engagement table provides a per-person view of meeting preparedness.
Attendee Engagement Details
For each attendee, the table shows:
| Column | Description |
|---|---|
| Attendee | Name and avatar |
| RSVP | Their attendance status (In Person, Virtual, Maybe, Pending, or Declined) |
| Documents Read | Progress bar and count showing how many of the meeting documents they have viewed |
| Action Items | Completion count and percentage for items assigned to them |
| Annotations | Number of document annotations they have made |
| Last Activity | When they last engaged with any meeting material |
Attendees are sorted by engagement level, with those who have viewed the most documents appearing first.
Using This Information
Review the attendee table before a meeting to:
- Identify attendees who have not reviewed any materials
- See which confirmed attendees still need to prepare
- Recognize highly engaged attendees who have annotated documents
Attendance and RSVP Analytics
The analytics dashboard integrates RSVP data with engagement metrics.
Confirmation Rate
The attendance confirmation rate shows what percentage of invitees have responded with "In Person" or "Virtual." This excludes "Maybe" responses and non-responses.
RSVP and Document Correlation
The document readership section groups non-readers by RSVP status:
- Confirmed attendees who haven't read materials are highlighted as needing attention
- Maybe attendees may warrant a reminder to finalize their response
- Declined attendees appear at the bottom as lower priority
Action Item Distribution
If action items are assigned, the analytics show:
- Overall completion rate with a progress bar
- Distribution of action items by assignee
- Which assignees have the most outstanding items
Using Analytics to Improve Engagement
Meeting analytics help you establish patterns and improve board engagement over time.
Before Meetings
- Check document readership a few days before the meeting
- Send reminders to confirmed attendees who have not viewed materials
- Consider reaching out personally to key participants with low engagement
After Meetings
- Review the final readiness score to understand how prepared the group was
- Note which documents received the most and least attention
- Identify attendees who consistently engage well versus those who may need different support
Over Time
- Track whether readiness scores improve across successive meetings
- Adjust your document distribution timing based on when attendees typically review materials
- Use annotation counts to gauge which topics generate the most interest
Privacy Considerations
Meeting analytics balance transparency with appropriate privacy boundaries.
What Attendees Should Know
- Attendees are not explicitly notified that their document views are tracked, but this is standard functionality for board portals
- Analytics are visible only to meeting organizers and administrators, not to other attendees
- The focus is on aggregate preparedness, not individual surveillance
Data Shown
Analytics display:
- Which attendees have viewed each document
- When they viewed it and how many times
- Annotation counts (but not annotation content)
Analytics do not display:
- How long someone spent reading a document
- Which pages they viewed
- The content of their annotations
Access Restrictions
Only users with the "view meeting analytics" permission can access the analytics page. Typically this includes:
- Organization administrators
- Board and committee secretaries
- Committee chairs
Regular attendees see only their own engagement information, not data about other attendees.
