Board Member FAQ

Board Member FAQ

Quick answers to the most common questions from board and committee members.

How do I download meeting materials?

You can download documents individually or as a complete meeting packet:

Individual documents:
1. Open the meeting and find the document in the agenda
2. Click the download icon next to the document name

Complete meeting packet:
1. Open the meeting page
2. Click Download all from the meeting actions
3. All documents will be combined into a single download

Downloaded packets include all documents attached to agenda items in the order they appear on the agenda.

Can I view meetings on my mobile device?

Yes. Boardwise is fully responsive and works in any modern mobile browser. You can:

  • View meeting agendas and documents
  • Update your RSVP status
  • Read and annotate PDF documents
  • Check your action items

For the best experience, use your device's default browser (Safari on iOS, Chrome on Android) and ensure you have a stable internet connection when viewing large documents.

How do I change my RSVP?

You can update your attendance status at any time before the meeting:

From the meeting page:
1. Open the meeting
2. Find the RSVP dropdown (typically near the top of the page)
3. Select your attendance status: Yes - In Person, Yes - Virtually, Maybe, or No

From invitation emails:
Click the Yes, No, or Maybe buttons in any meeting invitation or reminder email. This updates your status immediately without requiring you to log in.

From your calendar:
If you received a calendar invitation, responding in your calendar app (Accept, Decline, or Tentative) automatically updates your Boardwise RSVP.

What do the different meeting states mean?

Before a meeting, your corporate secretary releases it to you in steps:

Stage What You See
Draft You cannot see draft meetings. They are visible only to administrators.
Date Hold You can see the meeting name, date, time, and location. Documents may not be available yet.
Materials Ready Full meeting materials are available, including the complete agenda and all documents.
Cancelled The meeting will not go ahead. You are notified when this happens.

You will receive an email when the date hold is sent (save the date) and again when the materials are ready.

Separately, when the meeting is held, the secretary starts it and closes it at the end. A closed meeting is marked Meeting Closed. You can still open it and its materials for reference.

How do I reset my password?

Boardwise doesn't use passwords, so there is nothing to reset. To sign in:

  1. Go to the Boardwise sign-in page
  2. Enter your email address and click Sign in with email
  3. Check your email for a sign-in link or 8-character code
  4. Click the link or enter the code to sign in

If you prefer, you can set up a passkey after signing in for faster future access. See the next question for details.

Can I use a security key instead of a password?

Yes. Boardwise supports passkeys, which let you sign in using your fingerprint, face, or a hardware security key.

To add a passkey:
1. Sign in to Boardwise
2. Go to Profile > Security
3. Click Add Passkey
4. Follow your device's prompts to register

Passkeys work with:
- Touch ID and Face ID on Apple devices
- Windows Hello
- Hardware security keys (YubiKey and similar)
- Android biometric authentication

Once registered, you can sign in by clicking Sign in with Passkey instead of entering your email.

How do I see my action items?

You can view your assigned tasks in several places:

Dashboard:
Your dashboard shows pending action items assigned to you across all organizations. This is the quickest way to see what needs your attention.

Action Items page:
1. Click Action Items in the main navigation
2. View all pending tasks assigned to you
3. Click Completed to see finished items

From a meeting:
Action items linked to a specific meeting appear on that meeting's page.

To mark an action item complete, open it and click Mark complete in the Assignments panel.

Why can't I see certain documents?

Document access in Boardwise depends on several factors:

  • Your organization role - Admins have broader access than Members, and Members have broader access than Guests
  • Your committee memberships - You can see documents for committees you belong to
  • Meeting invitations - Being invited to a meeting grants access to that meeting's documents

If you cannot see a document you need:

  1. Check if you are a member of the relevant committee
  2. Confirm you are on the attendee list for related meetings
  3. Contact your organization's administrator to request access

Note: Guests have limited access by design. If you are an external participant, you may only see materials for meetings you are specifically invited to.

How do I add meetings to my calendar?

Boardwise can sync meetings to your calendar automatically:

Automatic calendar sync:
1. Go to Profile > Calendar
2. Choose your calendar provider (Google, Outlook, or Apple)
3. Authorize the connection

Once connected, meetings you are invited to will appear in your calendar automatically. Calendar responses (accept, decline, tentative) sync back to Boardwise as your RSVP.

Manual calendar subscription:
If automatic sync is not available, you can subscribe to an .ics calendar feed:

  1. Go to Profile > Calendar
  2. Copy the subscription URL
  3. Add it as a calendar subscription in your calendar app

From invitation emails:
Meeting invitation emails include calendar attachments (.ics files) that you can open to add individual meetings to your calendar.

How do I leave an organization?

If you need to remove yourself from an organization:

  1. Click your name in the navigation to go to your profile
  2. Scroll to the bottom of your profile page
  3. Find the Leave Organization section
  4. Click Leave Organization and confirm

What happens when you leave:
- You immediately lose access to the organization
- Your historical activity (comments, meeting attendance, etc.) is preserved
- Your board and committee memberships are ended
- You can be re-added by an administrator if needed later

Note: If you belong to multiple organizations, leaving one does not affect your access to others.
