Calendar Integration

Calendar Integration

Keep your meetings organized by connecting Boardwise to your calendar. Meeting invitations sync automatically, and you can respond to invites directly from your calendar app.

Supported Calendar Providers

Boardwise works with the most popular calendar applications:

  • Google Calendar - Full OAuth integration with automatic sync
  • Microsoft Outlook - Full OAuth integration with automatic sync
  • Apple Calendar - iCal subscription feed

Google and Outlook use secure OAuth connections that allow Boardwise to read your calendar availability. Apple Calendar uses a subscription URL that your calendar app fetches periodically.

Connecting Your Calendar

To connect a calendar:

  1. Click your name in the top navigation
  2. Select Calendar Connections
  3. Click the button for your calendar provider:
    • Google Calendar - Click "Connect Google Calendar" and sign in with your Google account
    • Microsoft Outlook - Click "Connect Microsoft Outlook" and sign in with your Microsoft account
    • Apple Calendar - Click "Connect Apple iCal" and enter your iCal subscription URL

For Google and Outlook, you will be redirected to sign in and authorize Boardwise to access your calendar. Boardwise requests read-only access to check your availability.

Meeting Invitations

When you are invited to a meeting in Boardwise, you receive a calendar invitation via email. This invitation includes:

  • Meeting title, date, and time
  • Location or video conference link
  • Meeting agenda and description
  • An ICS file attachment for adding to your calendar

Most email clients (Gmail, Outlook, Apple Mail) display RSVP buttons directly in the email, allowing you to accept, decline, or tentatively accept without opening the attachment.

If your email client does not show RSVP buttons, you can:

  1. Open the attached invite.ics file
  2. Your calendar app will prompt you to add the event
  3. Respond to the invitation from your calendar

When meetings are updated (time change, location change, etc.), you receive an updated invitation that automatically updates the event in your calendar.

Responding to Invites via Calendar

When you respond to a meeting invitation from your calendar app, Boardwise automatically captures your response:

Calendar Response Boardwise RSVP
Accept In Person
Decline No
Tentative Maybe

Your response is recorded in Boardwise and the meeting organizer is notified. You can also add a note when responding (using features like Gmail's "Reply with note"), and that note is forwarded to the organizer.

Note: If you respond from a delegated calendar (for example, an executive assistant responding on behalf of an executive), Boardwise correctly attributes the response to the meeting attendee, not the person who clicked the button.

Calendar Subscription Feeds

Boardwise provides a personal calendar feed that shows all your upcoming meetings and action item due dates. This feed updates automatically as meetings are scheduled or changed.

To subscribe to your calendar feed:

  1. Click your name in the top navigation
  2. Select Profile > Calendar
  3. Copy your personal calendar subscription URL
  4. Add the URL as a subscription in your calendar app:

Google Calendar:
1. Open Google Calendar settings
2. Click "Add calendar" > "From URL"
3. Paste your Boardwise calendar URL
4. Click "Add calendar"

Apple Calendar:
1. Go to File > New Calendar Subscription
2. Paste your Boardwise calendar URL
3. Click Subscribe
4. Adjust refresh frequency (recommended: every 15 minutes)

Microsoft Outlook:
1. Go to Calendar > Add calendar > Subscribe from web
2. Paste your Boardwise calendar URL
3. Click Import

The subscription feed includes:

  • Meetings you are invited to, once the secretary has announced them. Draft meetings do not appear.
  • Meetings that are cancelled after you were invited, marked as cancelled in your calendar
  • Action items assigned to you (shown on their due dates)

If an organization removes your access, its meetings and action items leave the feed at the next refresh.

Your calendar subscription URL is private. Do not share it with others as it provides access to your schedule.

Troubleshooting Calendar Sync Issues

Invitations not appearing in calendar

  • Check your spam or junk folder for the invitation email
  • Verify your email client supports ICS calendar invitations
  • Try opening the attached invite.ics file manually

RSVP not updating in Boardwise

  • Ensure you responded from the calendar app (not just the email)
  • Allow a few minutes for the response to process
  • Check that your email address in Boardwise matches the one in your calendar

Calendar subscription not updating

  • Most calendar apps refresh subscriptions every 15-60 minutes
  • Force a refresh in your calendar app settings
  • Verify the subscription URL is correct and has not expired

OAuth connection expired

Google and Outlook connections may expire after extended periods. If you see an error about token expiration:

  1. Go to Profile > Calendar Connections
  2. Disconnect the affected calendar
  3. Reconnect using the same provider

Disconnecting Your Calendar

To remove a calendar connection:

  1. Click your name in the top navigation
  2. Select Calendar Connections
  3. Find the calendar you want to disconnect
  4. Click Disconnect

Disconnecting a calendar does not remove existing events from your calendar or cancel your meeting RSVPs. It only stops Boardwise from reading your calendar availability.

For calendar subscriptions (Apple Calendar), you also need to unsubscribe from the feed in your calendar app to stop receiving updates.
